It is also very resourceful when you need to handle a high volume of messages and queries, reducing the time to address simple questions. 

However, if you are still skeptical about the process, you can keep human oversight or an AI text detector in the automated communication workflow.   

Steps To Automate Customer Messages With AI 

To integrate AI assistance in customer engagement effectively, you need to follow some simple steps given below.  

1. Connect AI Assistant With Different Channels

First of all, you have to connect a reliable AI assistant with the different channels, CRM, and communication mediums you use to converse with your customers. 

The most commonly used message channels are emails, SMS, WhatsApp, website chatboxes or “need help” sections, social media inboxes, and mobile apps.

Connect all these mediums with AI so that no platforms are left unattended. Also, ensure that the assistance is trained with AI models such as intent identification, summarization, drafting, and retrieval.        

2. Fix A Set Of FAQs

Once you have combined all the possible customer communication platforms with your AI assistance, you now have to fix certain questions and instructions to train the AI. 

For that, you must study the frequently asked questions for your product. Along with your past conversation research, you must study the market demand for your product, your ideal customer profile, and their intent to generate new qualified leads.    

These studies will help you to find out the FAQs and select the queries that your qualified leads mostly ask and are likely to make a purchase. 

For example: “What is the price of this product?” “How much is it?” “How much time will the shipment take?” and “the material of the product”.

So, fix a set of concise and simple FAQs like these, which are easily understandable by both your customers and AI assistance, based on the research, your conversation history, and market study.  

3. Train AI Assistant With Certain Answers

After you have selected and created the set of FAQs and common queries for your brand, now create proper answers to them. 

Keep in mind that you are not answering exam questions and ensure that the answer sounds like human assistance.

While preparing the answers, you should also make sure that the query is addressed and contains the exact information people want to know. But you must also remember that it does not sound rude or robotic. Try to put a brief description or add some more information with the exact answers. 

Then train the AI system with the answers. Prepare a proper prompt for AI to align certain keywords and questions with the answers you made against each FAQ. 

Provide your AI assistance with a proper database and information source containing pricing, product descriptions, availability, delivery time estimates, delivery fees, and shipping areas.          

4. Align the AI Tool With Your Brand Voice 

Finally, align your AI chatbot with your brand voice, motto, and objectives. Brand messaging alignment will help AI to answer more appropriately, reflecting your slogans. 

It will also make your target customers feel valued and cared for as your brand voice is created based on their profile and problems. 

Moreover, provide AI with the code of conduct, customer service protocols, and principles. Make it follow certain manners, like being polite and cooperative with customers while conversing with them.       

When To Use Human Intervention?

While you can utilize AI assistance for repetitive and manual queries, you must deploy human representatives in certain cases.

If a customer is asking for specific details or providing personal requirements, do not leave them to AI. In this case, you must converse with them on your own or ask someone else to talk to them personally. This way, you can earn their trust and address their special query properly. 

Another important case is when a customer is complaining about your product or service or asking for cancellation of an order. AI cannot handle these kinds of conversations as they are more complicated. Automated messages can make the situation worse. 

In these cases, always bring a human assistant and let them handle the situation calmly and strategically. This way, you can pacify the customers or even retain them.  

When a customer is asking the same question, you have to understand that the person either has not gotten their answers from the AI assistant or wants to converse with a human directly. At that moment, you must intervene or let a human facilitator communicate with them.           

While bringing human assistance into the loop, make sure that you have the chat history or summary of the previous conversation. This way, the customer does not have to repeat the issue or the query, and you can directly address their issues.
