Running WhatsApp Business on Multiple Devices: A Team Setup Guide

If your WhatsApp Business number lives on one phone, your whole team ends up sharing it. It sits on the front desk, gets passed to whoever is free, and nobody’s quite sure who replied to what.
You don’t have to work that way anymore. WhatsApp lets you link your Business account to four more devices, so several people can reply from the same number on their own phone or computer.
Here’s how to set it up, the limits to know about, and how to keep a team on one number organized.
What linked devices can’t do
Before you link anyone’s phone, know what you’re signing up for. Linked devices work well for a small team, but they come with a few limits:
- Your main phone has to stay in use. If it isn’t used for more than 14 days, every linked device is logged out. Don’t leave it in a drawer.
- No tablets. You can’t link a tablet as one of your devices.
- Some features only work on the main phone. Linked phones can’t create or view broadcast lists, see live locations, or post a Status.
- Calls may only ring on the main phone. If you link more than four devices, calls go to the main phone only.
- Nobody owns a chat. Without multi-agent, everyone sees every conversation and there’s no way to show who’s handling it. That’s where most of the double replies and missed messages come from.
How to link WhatsApp Business to another device
Linking takes about a minute. You’ll need your main phone, the one your Business number is registered on, close by for each one.
Link another phone
- Install WhatsApp Business on the second phone and open it.
- Tap Agree and continue.
- Skip the phone number screen and choose Link as a companion device. On Android, it’s in the ⋮ menu in the top-right corner. A QR code appears. Leave it on the screen.
- On your main phone, open WhatsApp Business and go to Linked devices:
- Android: ⋮ → Linked devices → Link a device
- iPhone: Settings → Linked devices → Link device
- Unlock your main phone when asked.
- Scan the QR code on the second phone.
Once linked, your chats sync to the new phone. To check it worked, open the new phone’s settings and look for “This is a linked device.”
Link a computer
- On your computer, open WhatsApp Web in a browser, or open the WhatsApp desktop app. A QR code appears.
- On your main phone, open WhatsApp Business and go to Linked devices:
- Android: ⋮ → Linked devices → Link a device
- iPhone: Settings → Linked devices → Link device
- Unlock your phone when asked, then scan the QR code on the computer.
- Give your chats a minute to load before you start replying.
Can’t scan the code? Choose Link with phone number on the WhatsApp Web screen and enter your Business number. WhatsApp shows a code on the computer. Enter it on your main phone when prompted.
Once linked, the computer works on its own internet connection, so your main phone doesn’t have to stay online.
How to run a team on one WhatsApp Business number
Since the app won’t tell your team who’s handling what, you have to agree on it yourselves. A few simple rules go a long way.
1. Decide who answers what. Split the work in a way that suits your business. You can split it by time (Ama covers mornings, Tunde covers afternoons), by topic (sales questions go to one person, delivery problems to another), or by customer (each account manager looks after their own clients). What matters is that everyone knows the rule.
2. Use labels to show who has a chat. The Business app lets you add labels to chats. Create a few like “New,” “Ama,” “Tunde,” “Waiting on customer,” and “Done.” When someone picks up a chat, they label it with their name. Everyone else leaves it alone.
3. Set up quick replies. Save answers to the questions you get every day, like opening hours, delivery times, and prices. Your team can send them with a shortcut, and customers get the same answer whoever replies.
4. Sign your name when it matters. Customers can’t see who replied. For anything that needs follow-up, like a quote or a refund, ending with “– Ama” tells the customer and your team who’s looking after it.
5. Turn on greeting and away messages. A greeting message lets new customers know you’ve received their message. An away message sets expectations when nobody’s working, so a customer messaging at 10 p.m. knows when to expect an answer.
6. Check the main phone every day. It’s the device everything depends on. Make one person responsible for it.
Note: what about Meta Verified multi-agent? If labels aren’t enough, some Meta Verified subscriptions include multi-agent. It lets you assign chats to specific people, see who sent each message, and link up to 10 devices, depending on your package. But if your subscription lapses, only your four most recently active devices stay linked. And it’s still the Business app, so you get no automation, no reporting, and no way to manage your other channels.
Moving your team to a shared inbox
For two or three people, linked devices and a few ground rules usually work fine. The cracks show as the team grows.
Once more than four or five people need to reply, customers start getting two answers to the same question, or none at all. Messages that arrive in the evening sit until someone’s back, and nobody can say how long a customer waited or which chat was dropped.
If your team is also answering Instagram DMs, Facebook messages, and website chat in separate places, it gets harder still. If that sounds familiar, here’s how your options compare:
A shared inbox fixes this by giving each teammate their own login instead of a shared phone screen. Here’s what that looks like in Heyy.
1.You keep your number and your app. With Coexistence, you connect the number you already use on the WhatsApp Business app to Heyy, and you can still use the app on your phone. In Heyy, go to Settings → Channels → Add Channel, choose WhatsApp, select Connect a WhatsApp Business App, and scan the QR code from the app.
2. Every chat has an owner. You can assign a chat to a teammate or a team. Set up team inboxes for Sales, Support, or Billing, so each team sees its own conversations.
3. You can see who’s busy. The Users list shows how many conversations each person is handling, so it’s easy to spot when one teammate has far more than the rest.
4. People see what they need. With workspace roles, Members handle the chats assigned to them, Managers see every conversation, and Admins manage the workspace.
4. Someone always answers. An AI Employee replies to new chats straight away, day or night, using your business information. When a person needs to step in, it hands the conversation to a teammate.
WhatsApp Business multiple devices FAQs
1. Can two people use the same WhatsApp Business number at the same time?
Yes. Once a second phone or computer is linked, both people can read and reply to chats at the same time. Agree on who answers which chats, so customers don’t get two replies.
2. Can you use WhatsApp Business on multiple devices, like two phones?
Yes. Your main phone can have up to four linked devices, which can be phones, WhatsApp Web, or the desktop app. With Meta Verified multi-agent, you can link up to 10, depending on your package.
3. Do linked devices work when my main phone is off?
Yes. Each linked device uses its own internet connection. But if your main phone isn’t used for more than 14 days, all your linked devices are logged out.
4. How do I remove a linked device?
On your main phone, go to Linked devices, tap the device, and choose Log out. It’s worth doing whenever someone leaves the team or a phone goes missing.
5. Can I see which team member replied to a customer?
Not in the standard Business app. Meta Verified multi-agent shows which agent or device sent each message. A shared inbox like Heyy shows who each chat is assigned to.
One number, a whole team
Linking devices is the easiest way to get more of your team onto one WhatsApp number. Add a few clear rules about who answers what, and they won’t get in each other’s way. But once the chats outgrow the phone, that setup starts to strain.
With Heyy, you get a shared inbox for the whole team where every conversation has an owner. An AI Employee answers new chats straight away, day or night, and hands them to the right person when someone needs to step in.
